These Terms and Conditions ("Terms") form a binding agreement between you and Derma Sense, a clinic and training academy operating from 15 Station Parade, Cockfosters, EN4 0DL, London, United Kingdom. They cover treatment bookings, payments, cancellations, training course enrolment, and your use of dermasense.co.uk. They sit alongside our Privacy Policy and Disclaimer.
01Scope and acceptance
By booking an appointment, paying a deposit, attending the clinic, signing a treatment specific consent form, enrolling on a training course, or using our website, you confirm that you have read, understood, and accepted these Terms.
Nothing in these Terms affects your statutory rights as a consumer, including those under the Consumer Rights Act 2015.
02Definitions
- Clinic, we, us, our
- Derma Sense at 15 Station Parade, Cockfosters, EN4 0DL, London, United Kingdom.
- Client, you, your
- The individual booking, paying for, or receiving a Service.
- Service
- Any consultation, aesthetic or cosmetic treatment, training course, gift voucher, or related item supplied by the Clinic.
- Treatment
- The aesthetic or cosmetic procedure described in the relevant treatment record, consent form, or invoice.
- Practitioner
- The qualified individual who will perform, or supervise, the Treatment.
- Trainee
- A student or junior practitioner delivering a Model Treatment under supervision.
03Our services
The Clinic offers consultations, in person aesthetic and cosmetic treatments, training courses, and the sale of gift vouchers and treatment packages. A full list of treatments and prices is shown on our price list. We may update prices, scope of services, and product brands from time to time without notice. The price applicable to your booking is the price in force on the day you pay your deposit.
04Bookings & deposits
- All appointments must be secured by a non refundable deposit. The deposit is applied to the Treatment fee on the day.
- Deposits may, at the Clinic's discretion, be transferred once to a rescheduled appointment if you give at least 48 hours' notice before the original appointment.
- If you fail to attend, or arrive too late for the Treatment to be performed safely, the deposit is forfeited.
- For higher value or specialist Treatments, we may require full prepayment. We will tell you this before you book.
05Payments
- Balance of the Treatment fee is due on the day of the appointment.
- We accept card payments via our in clinic terminal, Stripe, and (for distance bookings) Apple Pay and Google Pay. We may also accept bank transfer at our discretion.
- All prices are in GBP and inclusive of VAT where applicable.
- Initiating a card chargeback in respect of services lawfully provided is a breach of these Terms. We reserve the right to recover the sums charged back together with reasonable administrative costs.
06Cancellation & rescheduling
Notice periods
- More than 48 hours' notice: we will reschedule your appointment and your deposit will be transferred to the new date.
- Less than 48 hours' notice, no shows, or late arrivals: the deposit is forfeit. For higher value Treatments where the slot cannot be re filled, we may charge up to 100% of the Treatment fee.
Illness and emergencies
We consider short notice cancellations sympathetically where they are unavoidable (illness, family emergency, bereavement). Reasonable evidence may be requested.
Cancellations by the Clinic
If we have to cancel or postpone your appointment (for example because of practitioner illness or a clinical reason that makes treatment unsafe), we will reschedule at the earliest opportunity. Where you do not wish to reschedule, we will refund any payment received in respect of work not performed.
07Cooling off & statutory rights
Treatments are performed in person at the Clinic. For services arranged on our premises, the 14 day cancellation right under the Consumer Contracts (Information, Cancellation and Additional Charges) Regulations 2013 does not generally apply.
Where you book at a distance (telephone, online, WhatsApp) for a service to be performed in person, the statutory 14 day cooling off period under the 2013 Regulations may apply. If you ask us to begin the service before the 14 day period expires, you agree to pay a reasonable proportion of the fee if you then cancel.
For injectable treatments, we recommend a cooling off period of at least 24 to 48 hours between consultation and treatment, and we may require it as a matter of clinical safety.
Your rights under the Consumer Rights Act 2015 are not affected by this clause.
08Suitability & medical history
You warrant that:
- All information you give us in any consultation form, medical questionnaire, or oral disclosure is complete, accurate, and truthful;
- You have disclosed all relevant medical conditions, allergies, current and recent medications (including supplements and recreational drugs), prior aesthetic treatments, surgical history, and any pregnancy or breastfeeding status;
- You will tell us promptly of any change in your medical situation between the date of booking and the date of Treatment.
The Clinic may decline or postpone Treatment where, in its professional judgement, the Treatment is not safe or suitable. Where Treatment is refused on clinical grounds, we will refund any payment received in respect of work not performed, less reasonable costs incurred.
09Treatment consent
Every aesthetic Treatment is performed under a signed treatment specific informed consent and disclaimer document. By proceeding with Treatment, you confirm that:
- The Practitioner has explained the nature, expected outcome, alternatives, and material risks of the Treatment;
- You have had the opportunity to ask questions;
- You understand that results vary and are not guaranteed;
- You give your free and informed consent to the Treatment described in the consent form.

10Model treatments
Model Treatments are performed by a Trainee under the supervision of a qualified Practitioner, at a reduced or zero fee, as part of a structured training programme.
- The appointment may take significantly longer than a standard appointment;
- The risk profile may be higher, including increased risk of asymmetry, uneven outcome, technical error, longer healing, and the need for corrective work;
- No refunds, free top ups, or compensation are offered for Model Treatments, save where required by law (in particular the Consumer Rights Act 2015);
- The Supervisor retains overall clinical responsibility and will intervene where necessary.
By booking a Model Treatment you confirm that you voluntarily accept these terms.
11Touch ups & maintenance
Treatments such as scalp micropigmentation, permanent makeup, microblading, certain injectables, and some skin treatments may require further sessions, top ups, or maintenance to achieve or sustain a result. Touch ups are included only where expressly stated in the package booked. Failure to attend a recommended top up within the advised window may invalidate any included touch up entitlement.
12Conduct at the clinic
We are committed to a respectful, safe, and inclusive environment for clients and staff. The Practitioner may refuse, delay, or stop a Treatment at any time, including where:
- Clinical assessment indicates increased risk;
- The Client appears intoxicated, distressed, or unable to consent;
- Information disclosed at the appointment contradicts earlier disclosure;
- The Client behaves in a manner that is abusive, threatening, discriminatory, or otherwise inappropriate.
13Gift vouchers & packages
- Gift vouchers are non refundable and non transferable to cash.
- Gift vouchers are valid for 12 months from the date of purchase unless otherwise stated.
- Packages of multiple sessions are valid for 12 months from the date of first payment and must be completed within that window.
- Treatment suitability still applies. If you are clinically unsuitable for the Treatment covered by a voucher or package, we will offer a credit note for an alternative Service of equivalent value.
14Training Academy terms
Training course enrolment is governed by these additional terms:
- Course fees are due in full at booking unless an instalment plan is agreed in writing.
- Course deposits are non refundable.
- Where you cancel more than 14 days before the course start date, you may transfer your enrolment to a future cohort once, subject to availability and a 10% administration fee.
- No refunds are offered once the course has started, save where required by law.
- Trainees must arrange their own model clients unless otherwise stated. Models must meet the Clinic's suitability criteria.
- CPD certificates are issued only on full completion of the course and payment of any outstanding fees.
- Course materials are licensed for personal study; see clause 16 on intellectual property.
15Website use
You agree to use dermasense.co.uk for lawful purposes only. You must not:
- Use the site in any way that breaches any applicable local, national, or international law;
- Attempt to gain unauthorised access to the site, the server on which it is stored, or any related infrastructure;
- Use the site to send spam, transmit malware, or scrape content at scale without our written permission;
- Reproduce, duplicate, or copy material from the site for commercial use without a licence from us.
We make no warranty that the site will be uninterrupted, secure, or error free. We will use reasonable efforts to keep it available and to fix material issues promptly.
16Intellectual property
All trade marks, logos, course materials, photographs (other than those of clients used under a separate consent), text, and design elements on our site and in our printed materials are owned by or licensed to Derma Sense. They may not be reproduced, sold, or used for commercial purposes without our prior written consent.
Training course materials are licensed to enrolled students for personal study and reference only. Recording of courses, sharing of materials with non students, or use of materials to compete with the Academy is prohibited.
17Liability
We will perform the Services with reasonable care and skill, using suitably trained staff and reputable products.
Nothing in these Terms excludes or limits our liability for:
- Death or personal injury caused by our negligence;
- Fraud or fraudulent misrepresentation;
- Any breach of the terms implied by the Consumer Rights Act 2015 that cannot lawfully be excluded;
- Any other liability that cannot lawfully be excluded or limited under English law.
Subject to the paragraph above:
- We are not liable for indirect, consequential, or special loss, including loss of earnings, loss of opportunity, travel costs, accommodation costs, costs of substitute treatments elsewhere, or non financial loss such as distress.
- Our total aggregate liability for any direct loss arising out of or in connection with a Treatment is limited to an amount equal to the total fees paid by the Client for the Treatment giving rise to the claim.
- We are not liable for outcomes attributable to your failure to follow pre care or aftercare instructions, undisclosed or misrepresented medical information, pre existing medical conditions, anatomical variations, or your use of unsuitable products or treatments by third parties before or after the Treatment.
We maintain professional indemnity and public liability insurance. Details are available on reasonable written request.
18Complaints
We take complaints seriously and aim to resolve concerns promptly. Please email customerservice@dermasense.co.uk within 14 days of becoming aware of the issue, giving your name, the date of Treatment, the Practitioner involved, and a clear description of your concern. Our full complaints procedure is set out in the Disclaimer.
19Data protection
How we handle your personal data is set out in our Privacy Policy. By booking with us, you confirm that you have read and accepted the Privacy Policy.
20Force majeure
Neither party is liable for failure or delay in performance caused by events outside its reasonable control, including fire, flood, power failure, public health emergencies, governmental restrictions, industrial action, or supplier failure. Where such an event occurs, the parties will use reasonable efforts to reschedule.
21Changes to these terms
We may update these Terms from time to time. The version in force is the one published on this page at the date you book. Material changes will be communicated by email (where we have one for you) or by a banner on the website before they take effect.
22Governing law
These Terms and any dispute or claim (including non contractual disputes) arising out of or in connection with them are governed by the laws of England and Wales. The courts of England and Wales have exclusive jurisdiction, save that we may bring proceedings to enforce a debt in any court of competent jurisdiction.
